The Value of Traditional Rental Companies

Traditional rental equipment companies are essential partners in the production industry, not simply warehouses filled with gear. While productions can source equipment from many places, traditional rental companies provide value through the depth of their inventory, the reliability of their service, and their ability to help productions keep moving safely and efficiently.

Traditional Rental Companies Provide the Following Essential Services

  • Maintain ready-to-deploy inventories that allow productions to scale quickly and avoid costly downtime caused by incompatible or improperly configured equipment.
  • Invest significant capital in rapidly evolving technologies and provide access to technical support when something goes wrong on set.
  • Operate a service department that performs routine safety inspections and confirms equipment is operating properly.
  • Offer physical prep facilities that allow teams to test, configure, and inspect equipment before it reaches set.
  • Carry adequate levels of major liability insurance coverage

Why Non-Traditional Equipment Rentals Are Not Equivalent

  • There are operating costs incurred with every equipment rental. In the non-traditional equipment rental world these costs are being absorbed by traditional rental companies, production companies, or both.
  • These companies often rely on traditional rental companies when things go wrong to get production up and running.
  • Essential specialty items often can only be sourced through traditional equipment rental companies.

The Bottom Line
Production companies and traditional rental companies are partners in a shared ecosystem, each playing a vital role in the other’s success. Production companies and non-traditional equipment sources depend on traditional rental companies, yet those companies are now fighting for their existence. If traditional rental infrastructure disappears, rebuilding the experienced staff, inventory, facilities, and service networks will take years.

Camera Ambassador: A Rental House Built Around the Filmmaker


Camera Ambassador, based in Chicago, has re-joined PERG with a philosophy that puts relationships, technical expertise, and service at the center of the rental experience. Founded and led by Erica Duffy, the company has grown from an unexpected start in used-camera sales into a full-service rental house serving commercial productions and independent features out of Chicago and across the broader Midwest.

Duffy’s path into the rental business was unconventional. Growing up in New Hampshire, she had little exposure to the production industry. After moving to San Francisco, she operated an e-commerce business buying and selling used camera equipment, including Hasselblads and Leicas. While she enjoyed the equipment side of the business, she found herself missing the connection to the people and projects using the gear. In 2013, she moved to Chicago with the intention of creating a mixed-media artist collective. Friends began asking if they could borrow cameras from her inventory for their shoots, and those informal rentals gradually revealed an opportunity.


Camera Ambassador launched its formal rental division in 2014, built from the filmmaker’s perspective. As Duffy explains, the company’s philosophy has remained consistent: “The gear was never the hard part. The hard part, and the whole point, was staying connected to what people make with it and who those people are.”


Today, Camera Ambassador is a full-service rental house offering camera, lens, grip and electric packages, including 2-ton and 3-ton trucks. The company is particularly known for its emphasis on preparation, technical expertise, accessibility, and participation in the broader production community. Duffy notes that the company is also, by its count, one of a very small number of woman-owned and operated rental houses in the country and the only one in the Midwest.


Preparation is a major part of Camera Ambassador’s identity. The company has four automated MYT Works prep bays equipped with digital distance readouts, calibration-free film plane encoders, and motor systems. The facility was intentionally designed to give camera teams the space and infrastructure they need to thoroughly prepare equipment before a shoot. For Camera Ambassador, prep is not simply a step before production—it is an essential way of protecting the shooting day.

The company’s optical capabilities are equally important. Lens Technician Nate Wilke oversees lens service and evaluation, supported by a dedicated projection room equipped with a Chrosziel projector, MYT Works Reticle System, and Prêt à Tourner charts. Lenses are regularly serviced and tested daily. This technical depth allows the team to help cinematographers translate a desired visual look into the specific lenses and equipment needed to achieve it.


Camera Ambassador’s leadership team reflects that combination of technical knowledge and customer service. Duffy oversees major feature-film relationships, business operations, inventory, and the company’s overall direction. Operations Director Matt Carroll is also a working cinematographer whose credits include projects for Wilco, Iron & Wine, Fender, NPR, and Fontaines D.C. Rentals Manager Ellen Partain serves as the primary point of contact for many clients and specializes in finding workable equipment solutions within challenging budgets. Wilke provides the company’s optical expertise.


The company currently has four full-time employees, with two additional team members scheduled to join soon. Camera Ambassador also maintains an internship program, reflecting Duffy’s belief that bringing new people into the industry is an important part of sustaining the production community.


In June 2025, Camera Ambassador moved into a new facility inside CineCity Studios at 1414 S. Western Avenue in Chicago. CineCity’s roughly 140,000-square-foot facility places the rental house directly alongside active production. The new shop was designed by Duffy after eleven years of experience operating the company’s previous location. It includes prep bays, technical workspaces, a lens projection room, conference room, offices, a fully stocked expendables store, kitchen, makers space, lounge, and client area. The facility is designed to make equipment preparation efficient while also creating a welcoming environment where crews naturally want to spend time.


That community orientation extends beyond the rental counter. Camera Ambassador has hosted workshops, feedback sessions, screenings, and interns, and for five years funded and hosted the Community Builders Grant. Duffy also previously served as Executive Director of the Midwest Film Festival. The company emphasizes collaboration with other rental houses as well, including sharing equipment, solutions, and referrals when another shop is better positioned for a particular project.


The shop’s community-minded design includes one especially personal touch: Camera Ambassador is building an actual bar inside the rental house. The bar will not be open to the public or treated as a revenue line; instead, Duffy describes it as a place for crews and collaborators to gather after long days, with Nate Wilke curating an industry-inspired cocktail menu that reflects the same patience and attention to detail he brings to lens work.


Looking ahead, Camera Ambassador plans to continue investing in preparation infrastructure and technical services, particularly optics. The company is also continuing to modernize its inventory by retiring equipment that no longer meets its standards. At the same time, Duffy intends to maintain the company’s role as a community resource through workshops, screenings, grants, and internships.


Ultimately, Camera Ambassador’s mission is straightforward: to be “the Midwest rental partner crews trust when the project really matters.” For Duffy and her team, achieving that goal means combining well-maintained equipment and sophisticated technical capabilities with something equally important—a willingness to answer difficult questions, solve problems quickly, support filmmakers, and build lasting relationships throughout the production community.

PERG Congratulates Damián Ortiz on completion of EWI program

Before joining PERG’s EWI program, Damián was already showing up at rigging trainings and other industry events in the Albuquerque area, eager to join lighting and grip crews out in the field. Damián immediately stood out as a diligent and hard-working team member greeting everyone with a smile. Sam Gordon from Serious Grippage highlighted his “natural propensity for attention to detail,” and she noted how this attention to detail allowed him to “pick up skills and protocols quickly. His desire to take on new challenges was on full display when we helped get him trained to drive our vehicles. We have several large box trucks in our fleet that can look a little daunting. However, with some instruction and encouragement, Damián was driving 3-Ton box trucks very comfortably.”

Damián got to see the rental house in full swing through a busy political season which required quick turnarounds on large equipment packages and grip trucks. He was able to join owner Ryan Halsey on set to see his careful prep work translated to efficient systems on set for the crew. As Damián explored more lighting systems, he found himself gravitating towards lighting control and networking and is pursuing ways to deepen his knowledge on DMX, wireless DMX, and control systems and networking.

Filmscape Panel Discussion on “Making Great Relationships with Rental Companies"

On June 27 at Filmscape Chicago, PERG presented a panel called “Making Great Relationships with Rental Companies." Part of the Support Your Local Rental House Campaign, it was a candid and practical conversation about one of the most important—and sometimes overlooked—parts of the production process: building strong, productive relationships between production professionals and the rental companies that support them.

Moderated by PERG Manager Mark Wofford and featuring a panel that included Erica Duffy (Camera Ambassador); Colette Gabriel (Keslow Camera); Stan Glapa (Panavision); Stephen Wester, (Atlas Lighting); and Stephen Wheeler (Daufenbach Camera), at the heart of the discussion was a simple idea: the relationship should be about much more than renting equipment. While the rental transaction may begin with a list of cameras, lenses, lighting, or other equipment, the best relationships develop when rental companies and production professionals work together as collaborators. Rental companies bring not only equipment, but also experience, technical knowledge, problem-solving skills, and connections throughout the industry.

Communication emerged as one of the most important ingredients in making those relationships work. Panelists encouraged production professionals to engage rental companies early and explain what they are trying to accomplish, rather than simply presenting a predetermined equipment list. Sometimes a customer knows exactly what they need; other times, a conversation with an experienced rental professional can help identify a better or more practical solution. The goal is not for the rental company to dictate the answer, but to use its knowledge to help the production achieve what it is trying to do.

The panel also highlighted the people and expertise behind rental-company inventories. Rental-company employees are often passionate about equipment and spend their careers learning how it works in real production environments. Their knowledge goes beyond knowing what is on the shelf. They understand equipment compatibility, common failures, troubleshooting, emerging technology, and the practical differences between systems. Just as importantly, they have accumulated knowledge from working with countless productions and other industry professionals.

The discussion also acknowledged the realities of the rental business. Rental companies make significant investments in equipment, facilities, maintenance, insurance, employees, and inventory. Negotiating prices and seeking discounts are normal aspects of doing business, but the panel suggested that price should not be the only measure of value. The service, expertise, responsiveness, and problem-solving capabilities provided by a rental company are important parts of what production is actually paying for.

Perhaps the most important—and most human—point was the reminder that relationships are between people, not companies. Production is demanding, deadlines create pressure, and frustrations are inevitable. It can be easy to view a rental company as simply a vendor or a customer as simply an account. The panel encouraged everyone to look beyond that transactional perspective. Respect, patience, honesty, and an effort to understand the other person’s position go a long way toward creating relationships that last.

The panel’s message was straightforward: communicate early, be open, ask questions, respect the people you are working with, and invest in relationships before you need them. When rental companies and production professionals approach one another as partners rather than simply as buyers and sellers, the result is a stronger relationship, a better working experience, and ultimately a better production.

Sixteen Years of Stewardship, Growth, and Gratitude as PERG Begins Its Next Chapter

Dear PERG Membership,

It has been my privilege and pleasure to serve as PERG Manager from 2010 to 2026.

During that time, I have been fortunate to work alongside an exceptional group of people, the PERG Council and the ESTA staff, and help develop many of the programs and initiatives that have strengthened our community and delivered value to members. Together, we built RENTAL GUARD; partnered with AICP on industry-standard Terms & Conditions and PERG/AICP networking events in LA and New York, created educational meetings and events; launched the Equitable Workforce Initiative with Netflix; introduced PERG Coffee Breaks; developed back-to-work protocols during the COVID-19 pandemic; established professional lens technician training with Duclos Lenses; initiated rental software user groups; expanded access to premium identity verification services; and much more. 

Most rewarding of all has been the opportunity to get to know and work with the leaders of rental companies—large and small—across the United States and beyond. Your dedication to professionalism, innovation, and service has been both inspiring and educational. Throughout my tenure, the Council has remained focused on advocating for issues that affect us all, strengthening the value of ESTA membership, bringing the industry together, and making it easier to do business. 

Having helped guide PERG to this point, I am transitioning out of my role and handing the reins to new leadership between now and the end of August. I do so with tremendous confidence in the future of the organization and enthusiasm for what lies ahead. 

Thank you for your support, partnership, and friendship over these many years. It has been an honor to serve this remarkable community.

PERG Rental House Breakfast Brings Industry Together at Cine Gear 2026

PERG's annual Rental House Breakfast once again proved to be one of the highlights of the Cine Gear weekend. Held on Saturday, June 6, 2026, at the Smoke House in Universal City, Los Angeles, the event welcomed 110 attendees for two hours of networking, camaraderie, and a hearty breakfast before the start of the busy trade show day.

The breakfast brought together an impressive cross-section of rental company leadership from across North America and beyond. Representatives traveled from Oregon, Texas, New York, Miami, San Francisco, Salt Lake City, Minneapolis, and Los Angeles, while international participation included guests from the Netherlands. Many of PERG's valued vendor partners also attended before heading over to their booths at the Cine Gear Expo.

Guests enjoyed a full breakfast while taking advantage of the opportunity to reconnect with colleagues, strengthen business relationships, and catch up with old friends. For many attendees, the breakfast has become a cherished tradition and an important kickoff to the Cine Gear weekend.

This year, the gathering also provided an opportunity to honor the memory of John Schrimpf, a legendary figure in the rental community and longtime head of Panavision Dallas. June 6 would have been John's birthday, and coincidentally was also the day of his Celebration of Life service in Dallas. A special table was set aside for friends and colleagues to share memories and stories about John and the many ways he influenced careers throughout the industry. PERG thanks everyone who contributed photographs to the tribute slideshow, which served as a fitting remembrance of a man whose impact reached far beyond Texas.



At the conclusion of the breakfast, PERG took the opportunity to update the rental community on an important initiative currently underway. Over the past year, PERG has begun engaging directly with producers regarding equipment sourcing practices. At the AICP Town Hall meeting on March 12, PERG raised what many view as an existential question for the rental industry: whether rental companies can continue to provide the level of professional support and service that productions have long depended upon under evolving sourcing models.

The message emphasizes the value that rental companies provide—expertise, depth of inventory, facilities, service and maintenance, proper insurance, contracts, and business practices, testing, and round-the-clock support—that many in the production community have come to take for granted. Encouragingly, PERG's efforts have already proven effective in influencing production company policies and raising awareness among producers. Mark Wofford delivered the update to attendees. Mark, who led PC&E in Atlanta for more than twenty years and served for many years on both the PERG Council and the ESTA Board of Directors, emphasized that PERG is now in a position to bring this message beyond the commercial production world and to television and feature producers as well.

The event was a tremendous success and reflected the strength, professionalism, and fellowship that define the rental community. AICP and PERG Annual Spring Mixer

On Tuesday, April 28 over 160 members of the AICP and PERG celebrated in Los Angeles at the annual co-hosted Spring Mixer. The event, which was held at Versatile Stages near Culver City in Los Angeles, brings together Executive Producers, Heads of Production, producers, and production staff from some of the finest commercial production companies in the world to rave it up with the leadership teams from rental companies that support their productions. Bianca Halpern (Otto Nemenz) enthused, “This event is a unique opportunity where production companies can meet their vendors and vice versa. Camaraderie is formed and virtual relationships become real!” The annual event has become a welcome opportunity to relax and strengthen personal relationships between production, vendors, and professional services companies that are the behind-the-scenes backbone to production.

Sean French and Michael Dos Santos, partners in Versatile stages, transformed the photo studio space with Mayan art and festive Cinco de Mayo decorations. Guests tucked into delicious tacos and clowned in the photo booth (https://gobeyondthebooth.com/). Paul Royalty (Litegear and PERG Council Member) assumed the role of master of ceremonies. Before beginning the drawing of raffle prizes, he spoke to the assembled group about the role of the AICP and PERG in strengthening the production infrastructure with important initiatives like the AICP/PERG Terms & Conditions, the recent AICP Town Hall with PERG, and events like this one. His words advanced PERG’s 2026 theme, “Support Your Local Rental House,” which was the branded message displayed on pins, pens, and display screens at the event.

PERG's April 9, 2026 EWI Coffee Break focused on one of the most critical—and often overlooked—elements of rental house operations: inventory management. For this panel discussion on smart and efficient inventory practices, PERG welcomed three experienced rental house professionals: Chris Cottone of ARRI Rental, Alex Will of Daufenbach Camera, and Nick McKay of Keslow Camera.

The panelists emphasized that effective inventory systems are essential to understanding what equipment is available, where it is located, and how it is being utilized. As rental businesses grow, manual tracking methods quickly become inadequate, making specialized inventory software indispensable for maximizing efficiency and profitability. The discussion underscored that inventory management affects every department in a rental house and has a direct impact on the customer experience.

Maintaining accurate service histories for equipment, particularly high-value assets, was identified as another key priority. Nick McKay noted that detailed records not only support insurance claims but also help rental companies meet—and exceed—client expectations. The panel also stressed the importance of standardized naming conventions. Chris Cottone described the challenges of maintaining consistency across a global organization and explained that using technical product names rather than industry slang helps ensure that items remain easily searchable and universally understood.

Drawing on Daufenbach Camera's experience with a database transition, Alex Will explained how the company used the opportunity to refine item descriptions, providing greater insight into equipment utilization, maintenance requirements, and profitability. All three panelists agreed that extensive employee training in naming standards and data entry practices is essential to maintaining efficient workflows across departments.

The conversation also explored the benefits and challenges of barcoding equipment. While barcode systems improve tracking and operational efficiency, panelists noted that decisions about which items to barcode depend on factors such as equipment value, the need for service histories, and the practical ability to scan individual items. Chris and Nick shared lessons learned from managing barcodes on lenses and camera packages, emphasizing the importance of consistent barcode placement, regular maintenance, and employee training to address worn or missing labels.

Joining the discussion near the conclusion of the Coffee Break, Melissa Guzman of Rental Works highlighted features designed to maintain accurate records and protect against data loss. Bo Srisamutngam of Rental Tracker discussed safeguards built into inventory management software, including audit trails that document changes to item names and pricing, helping companies reduce errors and maintain accountability.

PERG's EWI Coffee Breaks are an important component of the Equitable Workforce Initiative, providing participants with broader exposure to rental house operations and expanding upon the hands-on training they receive at their member companies. PERG Celebrates EWI Trainees as New Cohort Begins


As PERG prepares to welcome a new group of participants into the Equitable Workforce Initiative (EWI), we are pleased to recognize one of the program's current success stories. Sponsored by Netflix, the EWI program provides entry-level employees at PERG member companies with six months of structured, hands-on training in rental house operations.

With the first six months of her employment nearly complete—the period during which the EWI training curriculum takes place—Valerie Cepeda of Arri Rental New York has emerged as an outstanding example of the program's impact. Valerie, along with Damián Ortiz of Serious Grippage & Lighting in Albuquerque, has spent the past six months gaining experience across multiple departments and developing the skills necessary for a successful career in the rental industry.

Additional new employees begin their training in the coming weeks. To support participants, PERG develops EWI Coffee Breaks, which provide valuable workforce development and training resources for entry-level employees throughout the industry. The Coffee Breaks are available on ESTA's YouTube channel through the dedicated EWI Coffee Break playlist.

From the beginning, Valerie demonstrated the qualities PERG seeks in EWI participants—initiative, drive, creativity, and the ability to work independently. Today, she confidently leads multi-camera preps, working closely with clients and Arri staff to deliver an exceptional experience. Her flexibility and creative problem-solving have earned praise from her colleagues.

Chris Cottone (Service Department Manager at Arri Rental) highlighted Valerie's ability to work with clients and find innovative solutions when conventional approaches are unavailable. Reflecting on the value of the program, he noted, "The EWI program sets great guidelines on training and ensures participants get a well-rounded experience in all departments of a rental house. EWI has become an integral part of Arri Rental's commitment to training and mentoring young people who are interested in careers in cinema."

Valerie's technical expertise has grown significantly, particularly in lens maintenance and repair. Clients have come to regard her as a trusted and supportive technician who delivers the level of service camera crews have long expected from their rental providers. In fact, many clients now request that Valerie lead their in-house preps when they return with subsequent productions.

As Valerie continues to build her career, she does so with a strong foundation of technical skills and the support of a community invested in her success.
