Identity Verification Made Easier (and More Affordable)

As rental companies, we all need to grow our customers and that means working with new people. ID verification services can help relieve some of the anxiety about working with new renters (see Koerner Camera’s testimonial below). The problem is that ID verification services can be a significant cost. When you investigate identity verification services, comparing pricings and capabilities is not easy, so we’d like to offer some comparison.

What ESTA Offers
First, what does ESTA offer its members? Members can have their own Plaid dashboard, a premium identity verification service, for a subscription of $500/yr. plus $5 per verification for US IDs. For a typical user that’s a total of $560-$600 per year, for which you could gain several rentals and new regular customers. As a trade association we can leverage our collective buying power to put this service within reach for our members, but we need more companies to take advantage of the offer.

How it Compares
Pricing for identity verification services is often unclear and varies widely, with premium options that can cost over $1,000 per month. Pricing is based on many factors and there are many add-ons, so the quoted base rates are probably not what you end up paying. From what we can see, a mid-tier companies like Veriff start at $49/month, IDology is $99/mo + $1/check, Subsum is $150/mo minimum, Persona $250+/mo. For a premium service like Plaid the cost is over 1,000/mo. So, the annual cost for more basic services is typically $600 - $3000 and can be a lot more than that.  ESTA’s offering is a premium-level verification service at a significantly lower cost.

Why Plaid
Many services seem to offer similar sounding features like instant ID verification and live person checks, but their methods vary. Plaid uses authoritative date sources, live selfie check, ID matching, and produces are report that includes verified accounts on social media and other platforms as well as phone and email confirmation. It gives you multiple vectors from which to make a judgement. Plaid has higher, faster, and more accurate pass rates (typically above 90% for digital onboarding) than many of its competitors. The process is fast (only a couple minutes) and easy.

Here’s what one of our members told us about their experience with Plaid.

We’ll admit it—we were hesitant to start using Plaid. We assumed it might be clunky, slow, or annoy customers. Instead, it’s been the complete opposite. Plaid is fast, simple, and surprisingly painless. It also takes the anxiety (and personal onus) out of vetting.

Producers treat it as totally normal—just part of doing business these days. It’s actually helped us say yes to clients we might’ve otherwise passed on. In one case, another rental house couldn’t fully verify a producer and turned them away. Plaid gave us the confidence to move forward, and now that client is a solid, returning customer.

Bottom line: Plaid hasn’t lost us business—it’s helped us gain it, while giving us a lot more peace of mind.

The Importance of Growing PERG’s Fraud-Fighting Network
Ten PERG companies are currently using Plaid. We need at least ten more companies to sign up over the next month or so to reach the break-even point for ESTA. If we cannot reach that goal, ESTA faces a difficult choice, but we feel certain that this member benefit is truly a value to the industry and will gain even greater value the more people that use it. Used in conjunction with RENTAL GUARD, this is an opportunity for PERG members to further strengthen our network for fighting fraud.

You are Invited to an AICP Town Hall Meeting – A Discussion Between Rental Partners

On March 12, the AICP has invited PERG to make the presentation at their weekly virtual Town Hall meeting. The presentation is intended to offer commercial producers greater understanding of how equipment ends up on their film sets and discusses safety and the economic viability of the professional motion picture rental house in the future. Rental companies have always been key partners in producing commercials, movies, and TV shows, and the speakers will discuss why this topic matters to the production industry.

The speakers for the event are long-time veterans of the rental industry. Mark Wofford has provided strategic leadership as an executive for 38 years. He is the former president and CEO of Production Consultants and Equipment in Atlanta, where he still serves on the board of directors. Mark is currently Owner of MFW Consulting, LLC. John Cini is former President and Co-founder of High Output in Boston, where he was at the helm for 40 years. He currently serves on the board of directors of Ansera. Both presenters have served the rental community as members of the PERG Council and on the ESTA Board of Directors representing rental companies.

Rental companies have long been under intense pressure. In the past year, seven rental companies have gone out of business in Los Angeles alone. The AICP Town Hall presentation aims to present a balanced view of the realities including a focus on the dangers of crowdsourcing production equipment, related safety concerns (see Lithium Battery Safety: What You Need to Know in this Newsletter), and other challenges.

The weekly AICP Town Hall virtual meetings are well attended. As AICP general members include larger companies that tend to rent rather than own equipment, the AICP expects the audience will be receptive. 

For this town hall, the AICP is extending an invitation to all PERG members to attend in addition to AICP associate members and general members. PERG encourages its members to participate. Please watch for an invitation in your email in the coming weeks.

Lithium Battery Safety: What You Need to Know

Lithium batteries are part of everyday life. They power our phones, computers, cars, tools, and—within the motion picture and television industry—provide essential energy for cameras and other critical equipment.

When used and stored correctly, lithium batteries are generally stable and perform as intended. Problems arise, however, when proper handling and storage procedures are not followed. Even a simple drop or heavy jolt can cause internal damage, potentially leading to overheating or fire.

Unlike conventional fires, lithium battery fires behave very differently. They can enter thermal runaway—a chain reaction of uncontrolled heating that may result in fire or explosion. Once thermal runaway begins, these fires can spread rapidly, burn longer, require large amounts of water to extinguish, and emit toxic fumes that pose serious risks to both occupants and firefighters. In some cases, batteries can even reignite after the fire appears to be out.

Creating a Safer Work Environment
Following best practices can significantly reduce risk:

  • Purchase or rent batteries only from reputable dealers
  • Ensure batteries are properly maintained and regularly inspected
  • Use only chargers specifically designed for each battery
  • Charge batteries in well-ventilated areas, away from combustible materials
  • Never leave batteries charging unattended
  • Store batteries in fire-rated, noncombustible cabinets when not in use
  • Store batteries in areas equipped with smoke and heat detectors
  • Do not store batteries in primary or secondary exit pathways
  • Avoid exposing batteries to extreme heat or cold
  • Remove batteries from service as they near end of life or show visible damage

Battery manufacturers and local fire departments are valuable resources for guidance on safe storage practices and appropriate fire extinguishers to keep on site.

With a little proactive care and attention, lithium batteries can continue to power our work safely and reliably.

Rental Guard Update and PERG’s Commitment to Theft Prevention

As you may know, the industry’s central source for fraud and theft information, RENTAL GUARD, has been undergoing renovation. The completion of this major project later this year will mark an important transition for ESTA from essentially renting the platform to owning it, resulting in major cost savings. This helps ensure that this valued industry resource remains funded and affordable. PERG wishes to thank two major insurance underwriters, Arch and Hiscox, that have sponsored RENTAL GUARD through this transition. We applaud their leadership and farsightedness in helping ESTA ensure we continue to develop fraud and theft prevention measures. When rental companies have access to shared theft information, they can save hundreds of thousands of dollars in losses annually and avoid the deleterious, unproductive, grind that comes with processing theft incidents. 

Rental companies want to stay up to date on trends in theft incidents. We know the value of RENTAL GUARD’s alerts, which enable the industry to spread the word very quickly and easily. However, PERG has seen a decline in the number of professional rental companies that are registered for RENTAL GUARD. Theft is a problem that the rental community has no choice but to address together, collaboratively. It is critical that rental companies continue to submit theft reports, questionable customer reports, and new customer reference inquiries. It is impossible to know precisely how many thefts have been avoided by companies simply sharing information on RENTAL GUARD, but we know what happens when they do not. 

Many companies participate in local networks that share fraud and theft information with nearby colleagues. While we applaud these efforts, we encourage companies to see the global picture. We know professional criminals strike unannounced in new cities all the time. To combat this, a local network is not sufficient. We strongly encourage rental companies to use RENTAL GUARD in addition to local networks for sharing information.

EWI Produces Coffee Breaks for All Rental Employees



PERG’s Equitable Workforce Initiative has partnered with many PERG members over the past three years. So far, the program has trained thirteen new energetic, passionate, young people who are now starting the assume positions of greater responsibility and importance at their companies or who have moved on and have successfully established themselves in the freelance crews. This year six more EWI trainees will begin their journey.

An important benefit of the program is the EWI-focused Coffee break series. These virtual educational sessions support rental companies participating in the program by exposing trainees to a variety of business and technical topics. Program Coordinator, Alison Cupples, brings in experts from many different disciplines within the production eco system to give EWI trainees a broad perspective. The sessions are open to all PERG members, and people from company owners to check out technicians have enjoyed the educational sessions.

Alison has new topics planned for 2026. One topic that is critical to rental operations is inventory management – what’s involved in optimizing quick and efficient turnarounds so that a company can get the most out of their assets? What are the tools you need to know about?  Another big topic, that everyone knows is essential, but many people have trouble wrapping the head around -- insurance. In a series of short, easy to understand, informative sessions with experts from various areas, these Coffee Breaks will help employees understand the real-world impact of policy provisions and explain it in a way that people can understand, remember, and refer to with confidence.

How Rental Companies are Thinking about AI

I get it. You are sick of hearing about it. It all sounds overhyped and seems to set unrealistic expectations. People are concerned it will displace them in their job. The new technology feels alienating and is a bit incomprehensible and frustrating to read or hear about. Many people are focused on ethical issues like privacy and authorship and are anxious about potential misuse. And it is everywhere these days. Media is saturated with AI.

But the question in my mind was simply, what, if anything can current AI tools do that is better than what unassisted humans working at rental companies already do? Especially given how highly customized and personalized our industry is. Not much, I expected. My problem was a lack of imagination. So, I asked around. I took a straw poll, speaking with ten rental company owners about how they are using AI. While most responses were about as expected, there were some big surprises. One business president told me, “Companies that are not using AI should just know, you are going 30 miles per hour when your competitors who are using it are going 100.” That was an eye-opener. And his is a medium-sized company not in New York or LA. 

The consensus from companies using AI tools is that AI tools do not replace employees, but they can supercharge their work. AI offers the promise of leveling the playing field for smaller businesses through better SEO integration, smarter marketing and strategies, and data-driven decisions. From my brief, unscientific, survey, I started seeing the tools in three categories: tools that automate tedious, time-consuming work; tools that drive search engine optimization (SEO) and sales leads; and tools that can provide meaningful insights from large or difficult data sets.

I started with the rental software companies. If you are going to incorporate some level of AI into rental workflow, that seems a logical place to start. Bo Srisamutngam at Rental Tracker told me, “The future of AI is exciting, but we are treading lightly.” Rental Tracker had started integrating AI into software by after sharing it with clients, they decided to approach it carefully. “Our main priority is to ensure client data remains fully contained and SOC compliant, without exposing sensitive information to external AI systems.” However, Rental Tracker does see places that AI could be a significant benefit to their clients. “Our vision is to build AI-powered support directly within our platform to handle tasks such as generating quotes, calculating ROI, creating projections, and managing sub-rentals amongst others.  We also want AI to be a FAQ function for training and onboarding new users; to help reduce redundant support questions to our power users and us. This way, clients can benefit from AI-driven functionality while keeping all data secure within our program. It's still on our roadmap, but not a priority.”

Rental Works is similarly in the early stages of programming some AI functionality. Melissa Guzman, Director of Training and Implementation, related that they are currently focusing on three areas: a chatbot for support, which provides Q&A utilizing the support site; analysis off back-office data (for example, ask AI “How much revenue did I make in 2023 for this item?”; and possibly some automated functions. Automation is in the idea stage at the moment, the objective would be to be able to type, "Build an order for The Smith Center in Las Vegas for two Arri camera packages with a 25% discount.” To Mellissa, this seems far off. “For me personally, this requires so much oversight by the user (“no, not that camera, this one”) that it is not a high priority now.”

Some of the ways that rental companies are already using AI include AI-assisted content creation and social media management, customized chat-bots and customer engagement tools, and AI-driven tools aimed at search engine optimization (SEO). These kinds of tools are well established at this point. The vast majority of influencer and branded content is AI-assisted. HypeAuditor survey conducted in August 2024 found that 83% of Instagram influencers use AI tools for content creation—covering everything from image and video production to captions and planning.

Social media requires constant creating and supervision to monitor engagement. Content creation tools include Claud, Gemini, Bard, ChatGPT and others. They can create initial drafts of articles and posts and suggest better titles to return the best engagement. The user must fact-check and rewrite for quality and to infuse the copy with your brand’s unique voice. 

Social media management tools like Canva, Sprout Social, Hootsuite, BuzzSumo have built-in AI assistance for a variety of tasks from removing unwanted objects from photo backgrounds, to generating icons and illustrations, to writing text and generating full slide decks (text, images, design, and animation) from prompts. A lot of people find AI tools a timesaver for brainstorming and drafting SEO-friendly, keyword-optimized posts quickly. These tools can generate click-worthy and properly formatted meta tags at scale and update existing posts with fresher keywords and improved readability. They provide AI-driven analytics to track engagement, suggest best times to post, identify influential followers, and perform competitor comparisons. 

Moz Local is an example of a search engine management platform targeting local SEO. It leverages machine learning to optimize Google Mind business listings and push information to get your business listed in more places in your geographic area. 

Some companies are now using AI tools extensively to create content according to their SEO optimization plan. SEO content called ghost pages or orphan pages is not outward facing. These are articles about products that live on the website and include all the technical terms and keywords that will direct the search engine. Noone wants outward-facing pages that are SEO filler stuffed with keywords, which are awkward and repetitive. It is easy to have an AI tool create SEO content from a variety of perspectives, like one article that’s technical, another on user benefits, and a third taking a sassy approach or tied to a political bent—casting a wider net to catch more user searches. 

Some rental companies are exploring the value of chatbots to engage visitors on their website and across messaging apps at any hour. I know, Chatbots? Ugg. But this technology has come a long way as language models have gotten more nuanced over the past year. You can train chatbots to go beyond answering FAQs. It can answer questions about your inventory, your procedures, and feed potential customers the right information. It can gather helpful customer data like communication preferences and purchase history as well as name and contact information (if the user inputs true information). 

One rental house principal explained that the chatbot can also tip you off to fraudsters. The PERG member noted that people will ask blunt questions when they think they are conversing with a machine. Reading the chat transcripts, rental management can easily identify questions by person looking to steal the equipment. One person even asked, “Where is the equipment stored, and which is the closest exit.” When a customer wants to know if the rental company has an FX-6 and zoom lenses—which is a red flag all by itself—the chatbot is trained to use an escape hatch, like, “I am not qualified to answer that question. Please contact an account rep and speak in person.” But the account rep never hears from them. 

Beyond the AI applications PERG members told me about, there are other tools that may or may not be helpful to a rental company depending on their market. For example, competitor tracking tools mine data sources on key competitors in your space, looking at their pricing, campaigns, search approaches, SEO tactics, top performing keywords, backlinks, social visibility, and paid ad history. These are part of AI-driven marketing suites like SemRush and SpyFu, available as a monthly subscription. They provide information that only AI can efficiently collate.

For data analysis, ChatGBT can perform tasks like summarizing data from a spreadsheet or answering your specific questions based on numerical data you feed it. Upload IT data about your website traffic and quickly get answers to specific questions about visitor behavior. 

What is less clear is if rental companies can reliably and (relatively) easily use AI to gain insights from financial data or utilization data about equipment. For example, would it be a cost-effective way to drill down into financial data and get a truly accurate picture of ROI and the ability to better determine when a product should be retired or sold? AI can assess financial data from any structured source — Excel sheets, databases, accounting software. But the data for most businesses is split between separate software for accounting, rental orders, and possibly a customer relationship management (CRM) system. So, integrating those data sources is a tall order. Nevertheless, other equipment rental industries (outside entertainment) have started using AI for dynamic pricing and demand forecasting, predictive maintenance, personalized recommendations, and customer service.

What about the privacy of your data? For general users, your inputs may be stored and potentially used to improve the AI model—unless you're using privacy-focused versions like ChatGPT Enterprise or Team, which offer stricter data handling. Enterprise plans (e.g., ChatGPT Enterprise, Edu, API) offer stronger safeguards such as: AES-256 encryption for stored data and TLS 1.2+ for transit encryption, SOC 2 compliance and third-party audits, data residency policies, and zero-data-retention options. OpenAI is exploring end-to-end encryption for temporary chats to enhance privacy, though this feature is still under consideration (as of August 2025).

Another area, which is going to be more controversial, is assessing legal documents like rental contracts and redlining. There are specialized legal AI contract review tools intended for legal professionals, but they not for businesses. However, some rental companies have started looking into using general-purpose AI tools. For example, OpenAI fine-tuned GPT models that you train with pairs of contract snippets and risk classification based on your rules. You can add prompt templates like “Identify any clauses violating our risk profile in payment terms or forum selection clause (jurisdiction clause).” You’d define your risk playbook, listing clauses to watch for. You’d annotate past contracts highlighting compliant vs. non-compliant language. You’d need to test and iterate by running unseen contracts through the model and refine based on false positives/negatives. And then integrate it into your contract review workflow. But implementation of this process appears to be theoretical at this point.

Rental companies also told me, once you are aware of the impact of AI, you start to see how profoundly it is already affecting day to day. For example, employee applicant resumes are often AI generated. There is a trend on all social media platforms of increasingly AI-generated content.

When you start diving into it, the abundance and diverse selection of AI tools on the market is a bit overwhelming. People who are exploring this area, start with a small commitment in one area where they sense that leading the competition can gain them an advantage and yield outsized returns in the long term. 

AI raises many questions about this brave new world, which we have not even touched on here. But the companies that have found ways to adopt AI tools say, whether you feel it is for you, your competitors have probably already started using it. 


PERG Council Nomination Process for 2026

Would you like to help decide the future of PERG? PERG members are encouraged to make nominations or nominate themselves to be members of the PERG Council. The deadline for nominations is December 1, 2025. The next term begins in January 2026.

What are the benefits of serving on the PERG Council?
Make a difference to the industry. Give back. Be inside industry discussions and developments and hear the full range of perspectives.  Help spearhead action on issues that are important to everyone. Make a lot of new professional connections. Represent the distinct interests of companies like yours. Have fun!

What does the Council do?
The PERG Council is the advisory body that decides the direction of PERG and represents PERG members’ concerns and desires in Council meetings. The PERG Council is responsible for developing industry initiatives and events. Some examples of initiatives include RENTAL GUARD, the AICP/PERG sample T&C document, Plaid Identity Verification Services, User Group meetings for services like rental software, Equitable Workforce Initiative, Data Security Best Practices documents, Lithium-Ion Battery Shipping documents, industry surveys, and so on. Events include annual social events, membership meetings, educational Coffee Breaks, and issue-oriented summits with industry partners and other organizations.

Is it a big commitment?
We have the greatest respect for the council’s time. The organization is managed to avoid making excessive demands on the Council, who are volunteers. Council members attend monthly council meetings by video conference. In addition, they may volunteer to be on a specific task group for a project or event. ESTA staff members perform all day-to-day operations of the organization. The term of office is three years, with an option to continue after that time.

How is the PERG Council different than the ESTA Board of Directors?
The ESTA Board of Directors governs the overall international trade association and are elected to office by the entire ESTA voting membership. The PERG Council’s responsibilities cover projects unique to PERG members—the motion picture/TV/commercial rental companies—which is a special interest group within ESTA. PERG Council members are appointed by a vote of the Council, in accordance with PERG Governance Guidelines.

Who’s on the Council?
The Council is made up mainly of principals and owners of lighting and camera rental companies. The council also includes representatives from manufacturing and insurance.

Do I have to be on the Council for my voice to be heard?
Any member can take a leadership role in PERG initiatives and participate in associated meetings. Member involvement and feedback is one of the most important and appreciated driving forces of the organization. For those who are not interested in taking an active role but have suggestions, ideas, or concerns, please bring them to Council member. The Council is appointed to represent member concerns. Or talk to the PERG Manager. 

What is the intended makeup of the Council?
In accordance with PERG Governance Guidelines, the council shall have between nine and sixteen members. Criteria for the selection of Council members includes maintaining a balance of individuals and interests. The Council considers geographic diversity, representation of camera and lighting companies, diversity of gender, age, etc.

To be eligible to serve on the council the candidate must hold decision-making authority within their organizations. They must be able to express opinions and vote in Council meetings without higher authorization from someone in their company.

EWI 2025 Accepting Applications. Don’t Miss this Opportunity!



Rental companies have started submitting applications for EWI 2025. PERG member rental companies should move quickly to secure a spot in the new grant cycle. The PERG program, which is sponsored by Netflix, pays all employee salary and payroll expenses for the first six months of employment. PERG and Netflix are working together to build a cohort of EWI 2025 candidates who will all start by the middle of July.  We will be awarding the first grants soon and will move quickly to fill all 6 spots. With EWI, new staff show accelerated growth, get in-depth industry training, and have the opportunity to network with industry professionals from every corner of the rental house ecosphere. With guidance from PERG’s training curriculum, developed by rental houses leaders, participating PERG members have the support to provide their trainees with a diverse range of experiences giving the candidate a broad understanding of how rental companies serve their clients through the entire rental process. This extensive approach to training from the start of employment builds a strong foundation for accelerated growth. 

The success of our EWI 2024 candidates speaks to the strengths of the program. In just one year from the start of the EWI 2024 grant cycle, EWI graduates are taking on more responsibilities and leadership roles within their workplaces and communities. Kiora Englemann took on a management role at Lux Lighting NY and continues to grow as a leader. Ashley at Triode has helped design new shelving on their grip trucks and found better and more efficient methods for managing large truck and equipment rentals. Sarah Sweeney, hired as a check-in and radio technician at Talamas, has broadened her skills and gained valuable hands-on experience working with and troubleshooting cinema lenses. Celeste deBardelaben has started working in the field as a first camera assistant building on the resources, skills, and network provided to her while on the rental floor at BECiNE and as an EWI candidate. Toni Fox at Serious Grippage & Light continues to work on set as well as in the shop, gaining valuable insight into how her work at the rental house impacts the crews on set. Alejandra Torres is working closely with clients as the lead equipment technician during the prep and checkout process and is taking on leadership roles in the rental shop. Each candidate is positioned for growth, and we are excited to continue with them on their journey. As we look to the future, I am thrilled to bring another round of candidates into the program and to continue strengthening the foundation of our industry.
